An Instagram campaign report should distinguish what people could see, how they interacted and what happened on the business side. Combining those layers into one “engagement success” number makes it difficult to decide what to do next.
This original report template is designed for a small business publishing Reels, posts and Stories. Use only the fields available in your account and the website or customer records you are authorized to access.
Start with a clear report header
Copy this header: campaign name; reporting dates; account; content formats; objective; owner; native analytics source; website measurement source; extraction date.
Add a short definition of success. For example: “Send readers to a service-comparison guide and record completed enquiry forms.” That objective makes it clear that a like is not the final result.
Keep paid advertising, collaborations and third-party service activity visible as separate campaign inputs.
Organize the report into three layers
Exposure: record the exact available fields for views, reach or other displayed measures. Meta's Insights guidance is the reference for current definitions and account access; do not assume every format exposes identical fields. Instagram Insights reference
Interaction: record likes, comments, saves, shares and link actions where available. State whether the figure is a count of events or a count of accounts.
Business results: record tagged sessions, relevant enquiries, confirmed purchases and the evidence used to connect them. Do not replace an unavailable business measure with a social metric that happens to be easier to obtain.
Use this fillable asset record
For each post, copy: asset ID; format; publication time; topic; destination; campaign label; reporting age; exposure fields; interaction fields; website results; notes.
The reporting-age field is important. A post measured after two days is not directly comparable to another measured after two weeks. Record whether the content was edited, boosted or linked from another source during the window.
Read a hypothetical example honestly
Imagine a campaign report showing 12,000 accounts reached, 640 interaction events, 90 tagged website sessions and six completed enquiry forms. These fictional numbers do not mean 640 different people engaged or that all six enquiries came solely from Instagram unless attribution supports that claim.
If the six forms were reliably associated with those 90 sessions, the observed form-completion ratio is about 6.7%. Report the attribution method and any missing data beside the number.
Do not add the reach of several posts and automatically call the sum unique campaign reach; audiences can overlap.
Keep links and service records traceable

End with a useful interpretation
Add three short fields: what worked; what remains uncertain; next test. For example: “Story links reached the relevant guide, but the mobile form caused confusion; simplify the form before increasing traffic.”
A good report does not hide incomplete attribution or unfavorable results. It makes the difference between exposure, interaction and business outcomes visible enough that the next campaign can be designed more intelligently.
